Office Manager

Mission of the Role

This position is working in office at our Canton, MA location.

This position is responsible for providing comprehensive facility and administrative support to the office and its leadership team, including vendor coordination, event logistics, and general office operations.

Key Responsibilities

  • Administrative & Operational Support
    • Provide administrative support to managers and teams, including document preparation and file maintenance.
    • Manage office equipment, mailroom operations, phone directory updates, and general supply ordering.
    • Gather, organize, and summarize data for internal reports and presentations.
  • Facility & Vendor Management
    • Oversee property management, building systems, cleaning, maintenance, and security.
    • Manage services for café machines, vending, water fountains, and general office amenities.
    • Review and submit utility and vendor invoices for approval.
  • Event & Logistics Coordination
    • Plan and execute logistics for meetings, training sessions, conferences, and internal events.
    • Coordinate facilities, catering, agendas, and communications for events.
  • General Office Oversight
    • Maintain departmental files and ensure compliance with internal procedures.
    • Collaborate with Purchasing to manage inventory and supply needs.
  • Perform other duties as may be assigned or required by management.

Key Qualifications

  • Experience: 5+ years of office administration experience.
  • Education: 2-year college degree or equivalent experience. Bachelor’s degree is a plus.
  • Certifications:  No certifications required.
  • Position-specific Qualifications:
    • Strong organizational and problem-solving abilities.
    • Excellent communication and interpersonal skills.
    • Ability to manage multiple tasks and prioritize effectively.
    • Experience planning and supporting large meetings and events.
    • Ability to manage, delegate, and adapt with changing priorities
    • Ability to handle matters confidentially with accurate filing and maintenance of documents.
  • Computer/Technological: Professional competence with Microsoft Office, previous SAP or other ERP Systems is an asset.
  • Language: Professional written and spoken fluency in English required.
  • Schedule: Generally Monday to Friday, full time; be on-call on some weekends (if required).
  • General Working Conditions: Be able to usually work in an office environment; flexible (hybrid) work arrangements available.
  • Travel: Be able to travel up to 10% of the time for event planning.
  • Physical Demands: Must be able to lift up to 25 pounds occasionally. Ability to sit or stand for extended periods. Manual dexterity required for using office equipment.

Compensation

The base salary is one part of our Total Rewards package and is determined within a range.  The starting base salary range for this position is listed below; the actual starting salary will be based on a variety of factors including experience, skill set, education, performance, licenses/certifications, business needs and other job-related factors, as permitted by law.

  • Starting Base Annual Salary Range: $52,780 - $71,250
  • Bonus Eligibility: This role is not eligible for an annual bonus.
